Dynamic OPS
How It Works

No Magic. Just a Process We Run Every Time.

Two to three weeks from first conversation to live systems handling real work. We diagnose the whole operation — not just where leads go cold — then build, enable your team, and tune. Here is exactly what happens, and what we need from you.

  1. Diagnose the operation, not just the leads

    Week 1

We map how work actually moves through your business: how enquiries arrive, what happens to a quote, where invoices stall, what your team retypes between systems, and which decisions wait on one person. Most of what we find is somewhere nobody expected. You keep this map whether or not you go ahead.

  2. Decide what's worth doing — and what isn't

    Week 1

Every candidate gets ranked by how often it happens and what it costs when it's late, not by how impressive it would look. Some of what we find should not be automated at all, and we will say so. You leave with a prioritised plan and a clear first target.

  3. Build the agent and the systems behind it

    Week 2–3

The customer-facing agent gets trained on your qualifying questions, pricing rules, tone and escalation points. Behind it we wire the internal side: CRM and calendar sync, quoting and invoicing steps, reporting, and the handoffs between tools you already run. Nothing gets replaced.

  4. Set your team up to actually use it

    Week 3

Tools do not change a business; habits do. Your team gets the prompts, rules and guardrails built around your real workflows, plus training on where AI helps and where it should not be trusted. This is the step most projects skip, and it is why most licences go unopened.

  5. Go live supervised

    Week 3

The system starts handling real work while we watch every interaction. Anything it gets wrong is corrected before it becomes a pattern. You see exactly what it is doing before it operates unattended.

  6. Tune, measure, expand

    Ongoing

Real customers ask things no demo script anticipates, and real staff use systems in ways no plan predicts. We keep tuning against what actually happens, report on what it is recovering, and move to the next item on the roadmap once the current one is holding.

How the Agent Thinks.

Five intelligent modules working together to recover your revenue.

Intent Detection

Understands what every lead actually wants — even from vague messages.

Lead Scoring

Prioritises high-value prospects so your team focuses on deals that close.

Objection Handling

Responds to pricing concerns, timing hesitations, and competitor comparisons naturally.

After-Hours Recovery

Captures and qualifies every lead that comes in while you sleep.

CRM & Calendar Sync

Automatically logs interactions and books appointments without human intervention.

Each one is configured against your process — your qualifying questions, your pricing rules, your escalation points. None of it is a generic template.

How We Build

Fluent in the Tools — That Matter.

Most of these names mean nothing to most business owners. They mean a great deal to us. Here is what we build with — and a few things worth knowing about it.

Straight Answers.

How long until it is live?

Most builds go live within two to three weeks. The majority of that is diagnosis and configuration against your process rather than technical work, and very little of it lands on you.

What do you need from us?

Access to the systems in scope — usually CRM and calendar — your pricing rules or rate card, and a couple of hours from someone who genuinely knows how the work flows. That is the bulk of it.

Is this only about lead response?

No. Lead response is where we start because the payback is fastest and easiest to measure. The same engagement covers internal systems, the handoffs between your tools, and getting your team using AI properly day to day.

We don't know where AI would even help us. Is that a problem?

That is the normal starting position, and it is what the diagnosis is for. You do not need a plan before speaking to us — you need it afterwards, and you keep it either way.

Will it say something wrong to a customer?

It works inside rules you set and escalates anything outside them to a human rather than guessing. We also run it supervised before it operates on its own, which is where most edge cases surface.

Do we have to change the tools we use?

No. It integrates with GoHighLevel, Twilio, Calendly, Zapier, Make and n8n, so it fits your existing pipeline instead of asking you to migrate.

What happens if we want to stop?

Your data and your CRM are yours and stay where they are. We are not trying to lock anyone into something that is not producing.

Why is there no case studies page?

Because we do not have results we can honestly publish yet. We would rather tell you that than put up logos we have not earned. That is what the founding partner programme is for.
